Privacy Policy

How Hestia collects and uses information for family spaces, provider profiles, support, and early access workflows.

1. Information we collect

Hestia may collect account information, email addresses, names, phone numbers, family space content, task records, family messages, invite records, saved providers, provider requests, vendor claim requests, contribution page records, support requests, waitlist submissions, contact form submissions, and technical usage data.

Provider profiles may include publicly available business information, licensing references, business websites, public directory information, provider-submitted updates, and claim-review details.

2. Sensitive planning information

Funeral planning may involve sensitive family context. Users should avoid entering Social Security numbers, bank details, card numbers, passwords, medical records, or documents that are not needed for planning. Hestia is intended to organize planning information, not to store highly sensitive legal, medical, or financial records.

3. How we use information

We use information to operate family spaces, authenticate accounts, manage family-space access, process provider requests, support vendor claim workflows, track saved providers, provide support, improve product quality, prevent misuse, maintain security, and comply with legal obligations.

4. Provider and marketplace information

Hestia may display provider information compiled from public sources, business websites, license records, directory information, provider submissions, or claim requests. Outreach records and private review notes are not part of public provider profiles.

5. Memorial funding

Memorial funding and contribution pages are not currently available. Hestia does not currently request or process contributor names, payment amounts, pledges, contribution status, or payment instructions for this purpose.

6. Sharing

Information may be shared with providers when a user submits a provider request, with invited family members inside a family space, with service providers that help Hestia operate, or when required for security, compliance, legal process, or protection of rights.

Contact submissions, vendor claim submissions, provider requests, family space content, outreach records, and private account details are not displayed publicly.

7. Service providers

Hestia uses a small number of infrastructure providers to operate the service: a database and authentication provider, a hosting provider, a payment processor (not currently active), and content-delivery networks that serve fonts and code libraries. These providers may process information only as needed to operate or support the service, subject to their own terms and policies.

Hestia does not use third-party advertising trackers, ad pixels, or cross-site tracking cookies. Product-usage events (such as which page led to a request being sent) are recorded to Hestia's own database and are not shared with or sold to advertisers.

7B. Cookies and local storage

Hestia does not set advertising or cross-site tracking cookies. Your browser's local storage is used to keep you signed in and to save in-progress planning data on your own device so it is not lost if you navigate away; this is necessary for the family space to function and is not used for advertising.

7A. Payments are not currently active

Hestia does not currently activate provider checkout or collect payment-card or bank-account details for provider bookings. Families and providers arrange payment directly outside Hestia. If a payment feature is introduced, this policy and the applicable terms will be updated before activation to describe the processor, information collected, purposes, retention, and user choices.

8. Retention

Hestia keeps information for as long as needed to operate the service, support users and providers, maintain records, improve safety, comply with legal obligations, and resolve disputes. Users may request deletion, but some records may need to be retained where required for legitimate business, legal, or security reasons.

Hestia aims to delete or de-identify information that is no longer reasonably needed. Legal holds, fraud prevention, security records, provider-claim evidence, and transaction-related records may require longer retention.

9. Your choices

You may request access, correction, deletion, or account support by emailing info@planwithhestia.com. Hestia may need to verify account ownership or authority before acting on a request.

10. Security

Hestia uses reasonable administrative and technical safeguards for an early-stage web product. No internet service can guarantee complete security. Users should keep passwords secure and avoid sharing invite links with people who should not access a family space.

Access to private family space and provider-administration information is limited by role. Hestia maintains processes for access review, account removal, incident response, and notification where required by applicable law.

11. Children

Hestia is not intended for children under 13. Users should not submit children’s personal information unless they have authority and it is necessary for the planning context.

12. International users

Hestia is operated from the United States. If you use Hestia from outside the United States, your information may be processed in the United States or other locations where service providers operate.

12A. Visitors in the EU, EEA, UK, or Switzerland

Where the General Data Protection Regulation (GDPR) applies, Hestia processes information on the following legal bases: performance of a contract (Art. 6(1)(b)) to provide a family space or provider request you asked for, legitimate interest (Art. 6(1)(f)) for security, fraud prevention, and understanding product usage, and consent (Art. 6(1)(a)) where you submit a form such as the contact or pilot signup form.

Because Hestia's service providers operate in the United States, some information is transferred outside the EU/EEA. Where that happens, Hestia relies on the safeguards its providers offer, such as the EU Standard Contractual Clauses. You have the right to access, correct, delete, or export your information, to object to or restrict certain processing, and to lodge a complaint with your local data protection authority.
